The FIE invites independent service providers to submit proposals for the organisation, cataloguing and management of its video and photo content in ScorePlay, the FIE’s digital asset management platform. The work covers a large backlog of historical material and the workflow for new content from FIE competitions. The historical archive is currently spread across roughly 50 to 100 hard drives and tapes with no unified structure. The selected provider will collaborate with the FIE Communications, Marketing and TV department for coordination and approval of project objectives and deliverables. The assignment will be performed remotely, with periodic on-site work at the FIE offices in Lausanne to process physical media.

Scope of services

The assignment covers the historical archive, new content and the ScorePlay tagging system. The provider will be expected to:

Historical archive

Inventory and digitise past footage filmed by the FIE’s video production agencies, held on hard drives and tapes.

Inventory and digitise past competition livestream recordings, held on hard drives and tapes.

Organise and catalogue the existing photo archive.

Upload and structure all recovered content in ScorePlay with consistent metadata.

Develop and implement workflows for the ingest of content for past competitions

Prepare and run a request for proposals for a deep storage solution to be integrated with ScorePlay (for example AWS or an equivalent provider).

New content

Review and correct AI-generated tags in ScorePlay (athletes, weapons, competitions, rounds and similar fields).

Tag and organise new footage delivered by the FIE’s video production agencies, including during live events.

Develop and implement workflows for retrieval and ingest of content for future competitions not covered by the Live Ingest set-up

Taxonomy and systems

Refine and extend the existing ScorePlay tagging taxonomy to cover gaps found in the historical material and new content types.

Maintain consistent naming conventions, metadata standards and folder and tag structures across the platform.

Report recurring issues with the ScorePlay platform, such as AI tagging errors, and propose workflow improvements.

Profile sought

At least three years of professional experience in archiving, media or records management, or digital asset management.

Experience with a digital asset management (DAM) platform; experience with ScorePlay is a strong advantage.

Proven experience organising audiovisual or photo collections, ideally starting from a disorganised archive.

Knowledge of legacy video and tape formats and of digitisation workflows.

Attention to detail and the ability to work independently on a large project whose scope will evolve as the archive is inventoried.

Availability to review content tagging during live events to confirm the accuracy of the tagging workflows, on a schedule that follows the FIE competition calendar.

Fluent English; an additional language is a strong advantage.

An interest in sport, ideally fencing, is an advantage.

Assignment arrangements

The FIE seeks an external service provider operating remotely under a contractor’s agreement. The provider will determine how to organise the work, while meeting agreed milestones and coordinating with the FIE. The provider must be based in a time zone close to Lausanne (CET/CEST) and be available for periodic on-site work at the FIE offices to process physical media. The start date and duration will be agreed with the selected provider.

How to apply

Please submit a professional profile or CV, a short summary of comparable archiving or digitisation projects and their outcomes, an outline of your proposed approach to the historical backlog and your availability, and a financial proposal stating your fee structure.
